Create a Shared Group
Setting up a shared group in Xbox Developer Portal (XDP) is a handshake process with your partner. Be sure to read this topic and Populate a Shared Group, so that you are familiar with both processes and can assist your partner. The process is described in the following sections:
Create a New Shared Access Group with a Partner
Before you create the shared access group, you must obtain the four-letter moniker of the partner studio with which you want to share content. When you have the moniker, use the following procedure.
Note You must have Publisher Management permission or higher.
To create a new shared access group with a partner
- Sign in to XDP.
- On the toolbar, click Manage to open the drop-down menu, and then click Access Management.
- You will see a list of Groups on the left-hand side of the page and the second section of groups is called Shared Groups. Click Add Shared Group.
- Under Adding Shared Group, enter the four-letter moniker and click Resolve.
- The name of the partner publisher will appear in the top box. Enter the group name in the bottom box and click Create.
- Under Shared Groups you will now see the group you created listed with the four-letter partner moniker. For example, PART.NewPartnerGroup. However, when your partner logs in, they will see it listed with your publisher moniker, such as PUBL.NewPartnerGroup.
- Click the group and wait until the name in the top middle section updates to reflect your group name. You can now edit the group.
- Now you need to assign permissions to the group. Under the Permissions tab, add any or all of the following permissions:
- Manage Catalog: Allows partners to see the catalog and artwork tasks on products associated with this group. You might want to limit this to a subset of partner users, so it might require a separate shared group.
- Product Runtime Access: Allows partners to create development accounts that can log in to the sandboxes where the group is assigned. Remember, you must add the group to the sandbox by clicking Sandboxes on the Manage menu. For more information about Product Runtime Access permissions and sandboxes, see Grant Run-time Access.
- Manage Service Config and Binaries: Allows partners to see the service configuration and add/edit packages links on products associated with this group.
Note This permission only allows partners to edit the service configuration.
- Manage Token Orders: Allows members of an access group to place and view token orders.
- Royalty Config Setup: Allows members of an access group to configure royalties for various editions of their game.
Note This permission only applies to games that are distributed on physical discs. This is not typically recommended for shared groups.
- Create and Submit Products: This permission is required to publish the product, but it gives users the ability to publish all sections of the product to any developer sandbox and the ability to create new products.
- Email your partner and tell them the shared group yourmoniker.yourgroupname is set up and ready for them to populate with users. Be sure to explain to them what permissions are assigned to the group so they know which users are appropriate. For more information on populating a shared group, see Populate a Shared Group.
Confirm Partner Users by Adding Them to the Shared Group
- Once your partner emails you back and lets you know the group is populated, go back to the shared group (or refresh your screen). Along the right you should now see the list of people they selected, and you can approve them for the group by clicking + (plus sign).
- Now your shared group is set up. Email the partner and tell them they are ready to develop on your title.
- Any time the partner wants to add new users they will populate them into the group and email you to confirm them by approving them for the group.
